Job description

General Dynamics Mission System-Canada has an exciting opportunity for a Proposal Support Specialist with their Canadian-based Proposal Development Team.

You are a motivated and self-directed individual with a passion for proposals. You thrive in a collaborative environment but know when to switch to independent deliverables. Communication is paramount so having excellent writing, proofreading and editing skills is essential. As a Proposal Support Specialist, you will coordinate and manage all proposal development support activities, including: reviewing, organizing and editing proposal content; graphics development and management; SharePoint management and records retention; colour team support; word processing; adherence to branding standards; compliance management; and quality control.

Key indicators of success in this role are excellent attention to detail, a creative mindset, multitasker, and independent thinking with strong time management skills to work productively under short deadlines in an evolving work environment.

  • Reviewing customer Request for Proposal/Information (RFP/RFI) material to identify proposal deliverables, deadlines, response structure and format
  • Maintain accurate customer RFP/RFI versions and amendment records
  • Provide input for the proposal response document in association with the corporate template structure, design, and layout
  • Set up all documentation related to the proposal response using corporate proposal templates and previous proposal baseline
  • Assign and coordinate proposal team SharePoint site activities, provide site access, and create SharePoint contributor groups
  • Assist with creating proposal outlines, schedules, and work packages, working closely with the Proposal and Capture Managers
  • Format all proposal documentation according to team and company-approved standards and styles
  • Edit technical proposal documentation, ensuring: consistency/clarity of message; contextual integrity and tone; proper grammar; coherent flow; and readability and accuracy
  • Oversee graphics development, support writers with content creation, and engage with illustrator teams as required
  • Liaise with the contributors for each proposal, both internal and external to the proposal department, including the following functional areas: proposals, capture, estimating, engineering, supply chain, manufacturing, quality, business development, offsets, project management, commercial services, finance, legal, and other functions as required
  • Finalize proposal deliverables as part of digital production activities
  • Maintain documentation version control at each iteration of the proposal including colour team reviews and manage the final document release and archive using electronic tools; and Post-proposal production document management activities
  • Maintain, augment and improve library of reusable proposal content, graphics, templates and processes to reduce response time and improve quality of future bids
  • Contribute to proposal status and proposal record metrics reports
  • University or College degree or an equivalent combination of education and related experience
  • 5 years of applicable experience, with a minimum of 2 years in proposals.
  • Excellent attention to detail and ability to multi-task and achieve deadlines
  • Excellent communication, both verbal and written
  • Working proficiency of Microsoft Office Suite, including SharePoint, with high proficiency in Microsoft Word
  • Experience with SharePoint, Adobe InDesign, Illustrator, and Photoshop

It is a requirement that General Dynamics Mission Systems-Canada be registered with the Canadian Controlled Goods program and that all of its workforce be security assessed.
