Job Summary: We are seeking a motivated and detail-oriented HR Support Specialist to join our Corporate HR team. This role provides essential administrative and operational support across 30+ subsidiaries, helping ensure consistent, efficient, and people-focused HR processes. The ideal candidate is tech-savvy, highly organized, comfortable working in Excel and HR systems, and thrives in a collaborative, fast-paced environment. This is an excellent opportunity for someone looking to build a strong foundation in Human Resources while gaining exposure to a multi-entity organization. This is a hybrid role with in office requirements in Richmond, Virginia! Essential Job Duties & Responsibilities: Serve as the primary dispatcher for the Human Resources HelpDesk, ensuring tickets are accurately triaged and assigned to the appropriate agent; resolve non-escalated requests using available resources and approved “canned” responses. Serve as a primary support resource for HR-related inquiries within the internal HR team. Provide project-based and administrative support to the HR team. Support the benefit plan renewal process annually. Support benefits administration and open enrollment activities, including data tracking and employee communications. Serve as a backup to employee benefit administration. Support integration efforts for newly acquired companies. Provide support with audits and plan testing, including but not limited to 401(k) audits, 401(k) nondiscrimination testing, and Health and Welfare nondiscrimination testing. Provide support with compliance filing for ACA across multiple subsidiaries. Prepare and maintain reports, trackers, and dashboards using HRIS, Excel, Benefit Administration Platforms, and other tools. Oversee garnishments and medical support orders across multiple subsidiaries. Oversee Health & Welfare and 401(k) benefit deductions, including entry, review, and auditing across multiple subsidiaries. Administer tax notices, including distribution, payroll provider case creation, and tax rate updates across multiple subsidiaries. Respond to Employment Verifications and may be responsible for partnering with local HR POCs to respond to Unemployment claims. Coordinate training sessions, meetings, and HR initiatives as needed. Partner with Corporate HR team members to improve workflows and standardize processes across subsidiaries. Handle sensitive and confidential information with professionalism and discretion. Perform other duties as assigned. Bachelor’s degree in Human Resources, Business Administration, or related field (or equivalent experience) preferred. Strong technical aptitude; comfortable learning and navigating HRIS platforms and internal systems. Proficient in Microsoft Excel (filters, formulas, data tracking) and Microsoft Office Suite. Highly organized with strong attention to detail and follow-through. Excellent written and verbal communication skills. Team-oriented mindset with a positive, “can-do” attitude. Ability to manage multiple priorities in a fast-paced, multi-entity environment.
