Job description

PMO Performance Technical Secretary:

We are seeking a highly organised and proactive Performance Technical Secretary to join our SI Onshore PMO Data & Performance Team. This key role will support the team’s operational efficiency, ensuring seamless communication, coordination, and reporting across multiple stakeholders and activities.

Key Responsibilities

Mailbox Management: 

  • Daily management of the Onshore Performance Reporting mailbox.

Board Support: 

  • Serve as technical secretary for Regional Performance Boards, including:
  • Coordinating calendar invites and tracking delegates.
  • Managing distribution lists, stakeholder lists, and email communications.
  • Capturing meeting actions and tracking action closure.

Funnel Process Management:

  • Capture new reporting requests from the mailbox.
  • Log requests into the DevOps system.
  • Notify the Data team and respond to requestors.

Documentation Ownership:

  • Own and update SOPs, RACI charts, team org structures, etc.
  • Roadmap & Progress Monitoring:
  • Frequently review the team’s roadmap and progress.
  • Fortnightly team progress reporting.

Event Coordination:

  • Coordinate and run team offsites, agree agendas with stakeholders, create skeleton packs, chase inputs, and arrange team socials.
  • Report Support:
  • Support monthly PMU report production, including creating skeleton packs, chasing inputs, and reviewing slide formatting.
