Job description

AECOM is actively seeking a Senior Administrative Assistant to provide high-level administrative support to the senior leadership team. This role requires exceptional multitasking abilities, attention to detail, and the ability to manage confidential information with discretion. The Executive Assistant will act as a key liaison between senior leadership, internal teams, and external stakeholders, ensuring seamless communication and efficient operations. This role is a hybrid position located in Chicago, IL.

About the Chicago Buildings + Places Team

Our practice is one of the fastest growing and highest-performing B+P practices in AECOM’ s West Region. We offer a full suite of services: architecture, interiors, building systems and structural engineering, urbanism and planning (including landscape), workplace transformation, advisory services, technology solutions, and digital delivery - and serve as a Center of Excellence for many of these disciplines.

We work in a collaborative model across the West Region with other B+P practices, as well as with AECOM’s Transportation, Water, Environment and Advisory business lines to support vertical infrastructure and comprehensive solutions. What You’ll Do

The Senior Admirative Assistant is a vital role that supports the smooth functioning of executive operations. This position is ideal for a detail-oriented, resourceful professional who thrives in a dynamic environment and excels at supporting leadership in achieving organizational goals.

Responsibilities include and are not limited to:

  • Provide proactive administrative and strategic support to support the senior leadership team, including calendar management and prioritization across multiple time zones.

  • Act as a key liaison between senior leadership, internal teams and external stakeholders to facilitate communication and decision-making.

  • Prepare and organize materials and logistics for meetings, presentations, strategic discussions and team building activities, ensuring timely follow-up on action items and deliverables.

  • Maintain and update CRM (Salesforce) data to support relationship management and business development efforts.

  • Track and manage key operational tasks, firm initiatives and leadership priorities to ensure alignment with firm goals.

  • Support resourcing and staffing efforts across multiple disciplines.

  • Support confidential projects, prepare correspondence and manage information flow with discretion and judgment.

  • Anticipate needs and identify opportunities to increase senior leadership effectiveness and efficiency.

  • Contribute to creating a high-performing and inclusive culture.

To be successful in this role you must be highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with scheduling tools and CRM software.

Minimum Requirements:

  • High School degree + 8 years of relevant experience, or demonstrated equivalency of education/experience.

Preferred Qualifications:

  • Highly Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with scheduling tools and CRM software.

  • Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field preferred.

  • Four plus years of experience as an Executive Assistant at an architecture, engineering, or other consulting office environment.

  • Ability to work independently and as part of a team in a fast-paced environment.

  • Exceptional ability to prioritize tasks, manage deadlines, and maintain attention to detail.

  • Strong verbal and written communication skills, with the ability to interact professionally at all levels.

  • Strong interpersonal skills to build trust and rapport with senior leadership and stakeholders.

  • Resourceful and adaptable, with the ability to anticipate needs and resolve issues proactively.

  • Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.

  • Maintains a high level of responsiveness at all times.
