Job description
Experienced Family Law Firm seeks motivated individual for a full-time receptionist/legal assistant. The position involves administrative tasks and assisting lawyers on all aspects of legal document preparation as required and implementing general office procedures. A strong attention to detail, commitment to a quality work product, client service and problem-solving skills are required. Initial hours are 9:00 a.m. – 4:00 p.m. Monday – Friday.

· Responsible for making a good first impression with potential clients who call the office and for warmly receiving calls from existing clients

· Able to prioritize multiple tasks
Specific duties and responsibilities include
· Answer attorney phones; possess professional telephone etiquette and accurate messages and note taking required
· Prepare emails, faxes, photocopies, exhibits and scan work product
· Prepare and assemble materials, documents and exhibits for meetings, court appearances and hearings
· Engage court officials, clients, co-workers and other colleagues with a positive demeanor
· Research inquiries and requests for information; and general office duties as assigned for the professional operation of a law firm
· Schedule appointments
· Open and maintain client files, client contact information
· Maintain client confidentiality and exhibit professionalism
· Maintain tasks lists of document and court deadlines
· Maintain and meet calendar deadlines
· Maintain e-files and physical files according to company procedures, including scanning and posting of all correspondence, emails, telephone calls, faxes, etc. to ensure proper file compliance.
· Perform administrative tasks such as making travel arrangements; schedule court reporters, organize meetings and appointments, maintain the attorneys' case list.
· Accurate data entry
· Back-up co-workers as needed
· Perform other duties as assigned
Job Requirements
· Have excellent grammar, spelling, and proofreading skills
· Possess advanced computer skills, including knowledge of Word, Excel, and PowerPoint, and have the ability to learn new support systems and processes quickly and efficiently
· Ability to work in a fast-paced environment with time-sensitive deadlines
· Work overtime as needed
· Some College preferred
