General Insurance is a leading provider of insurance products and services for commercial and personal insurance customers. AIG are looking for an experienced and accomplished Senior EA to provide key support to the International Head of Claims. The successful candidate will need to be flexible, liaising with other Executive Assistants and Senior Management within the London and global offices and across multiple time zones. We are looking for a committed individual who has the ability to handle tasks with diplomacy, tact and care. It is essential you have supported at a senior level and ideally you will have previous experience within Insurance.

  • Senior executive 1:1 support to the International Claims Leader

  • Work closely with and build strong relationships with their direct reports

  • Proactively set up and manage the process for quarterly business reviews and other business reviews/ Board meetings etc

  • Pull together daily packs and briefing notes for meetings and engagements

  • Proactive management of busy calendars, heavy scheduling of meetings and calls, involving multiple diaries and different time zones

  • Organize and plan frequent international and domestic travel including flights, hotels and ground transportation

  • Processing of visas when necessary

  • Processing of expenses using the Concur web portal

  • Prepare correspondence, memos, reports, presentations, spreadsheets and other reporting as needed

  • Organize and maintain electronic and manual file systems

  • Attend weekly/monthly meetings to take minutes, manage & chase actions to ensure all completed by deadlines and any pre-meeting preparation

  • Organise meetings, offsites and other similar events

  • Meet & greet external guests, create & maintain a good relationship so are key point of contact

  • On boarding new joiners, ordering equipment and access

Experience & Qualifications Required:

  • Solid Executive Assistant experience supporting senior Executives in a similar role, including confidence in and experience of dealing with senior management and external stakeholders across a Global matrix organisation

  • Ability to carry out continuing and complex assignments that require the organization of materials, the handling of routine administrative details, and the preparation of reports

  • Demonstrate sound judgment handling competing priorities, time-sensitive projects and potential conflicts

  • Ability to plan work efficiently to ensure own deadlines are fully achieved

  • Advanced proficiency in Microsoft Office systems, and strong knowledge of Excel and PowerPoint

  • Proficiency in phone systems and video conference

  • Confidentiality and integrity is paramount

  • Must be able to take a flexible approach to completing work tasks
