Job description

We are seeking a highly organised and detail-oriented Medical Records Officer to support the day-to-day operations of our clinical reporting and medical records function. This role plays a critical part in ensuring the accurate management, review, and distribution of medical records, while maintaining the highest standards of confidentiality and compliance.

As the first point of contact for many internal and external stakeholders, you will provide professional administrative support and coordinate medical record requests across the business. Working in a fast-paced environment, you will contribute to the efficient delivery of services and support positive outcomes for patients and stakeholders.

This is a full-time opportunity within our Primary Health Services team.

Day to Day !

  • Manage the end-to-end processing of medical record requests, including review and distribution
  • Maintain accurate registers and databases for all record requests and documentation
  • Review electronic medical records to ensure accuracy and readiness for release
  • Respond to email enquiries in a professional, timely, and confidential manner
  • Liaise with internal teams and external stakeholders, including government departments and third parties
  • Ensure all records (electronic and paper) are maintained in line with legislative and organisational requirements
  • Provide administrative support to the Clinical Reporting Manager and broader team
  • Contribute to continuous improvement initiatives and team efficiency
  • Participate in team meetings and support a collaborative working environment

Lets talk about you!

You are a highly organised and proactive administrator with experience in medical records or a similar role, and a strong commitment to accuracy and confidentiality. You bring excellent communication and interpersonal skills, with the ability to engage effectively with both internal and external stakeholders. You are confident managing multiple priorities in a fast-paced environment, with strong attention to detail and time management skills. You have solid computer proficiency, including experience with Microsoft Office and database systems, and are comfortable learning new platforms. A team player by nature, you can also work independently, using initiative and sound judgement to solve problems and escalate where needed. Experience in customer service and handling written correspondence is essential, and a qualification in Business Administration or similar is desirable.
