Job Description:

The Property Manager is responsible for Full scale operational, financial, and strategic oversight of a high profile, mixed use retail and entertainment destination in Pasadena. This role goes beyond traditional property management and require active engagement with city stakeholders, complex tenant relationships, capital improvement execution, and revenue driven initiatives.

The Property Manger serves as the onsite leader driving NOI growth, tenant experience, and asset positioning while ensuring alignment with ownership objectives and evolving market conditions.

What Will You Do?

Management, Operations and Marketing

  • Provide leadership and direction for all onsite operations, ensuring alignment with ownership objectives.

  • Maintain the overall condition, safety, and presentation of the property, including common areas and vertical transportation systems.

  • Oversee critical building systems including HVAC (central plant/chillers), elevators/escalators, fire/life safety systems, and BAS infrastructure.

  • Manages, enforces and maintain all tenant lease requirements.

  • Prepares team to respond in emergency and crisis situations.

  • Establish an effective working relationship with all department store managers and other key merchants, including specialty tenants to understand and drive sales.

  • Implement and monitor hazard control and team safety practices, ensure compliance with local codes and regulation and pass the compliance portion of the operations audit.

  • Implement and monitor preventive maintenance programs and ensure rapid response to operational issues impacting tenants and customers.

  • Selects contracted services by developing scopes of work, requesting bids, monitor performance per scopes of work and contractual agreements.

  • Manages multiple employees through effective communication, supervision, training, and scheduling to ensure tasks are completed timely and in budget.

  • Develops multi-year capital project plans and manage the process to complete the capital projects.

  • Manages tenant improvement construction with contractors, tenants, and consultants.

  • Ensure compliance with local codes, ADA requirements, and City of Pasadena regulations, including coordination with fire/life safety authorities.

  • Manage vendor performance across janitorial, security, engineering, and specialty services, ensuring accountability and cost efficiency.

  • Develops Plans of Action for Capital Projects and manages the process to complete these Capital Projects.

  • Purchases building and maintenance supplies, machinery, and equipment.

Leasing

  • Partner with leasing to support deal execution, renewals, and tenant mix optimization, including specialty leasing and short-term activations.

  • Handle tenant disputes, rent relief request, and operational conflicts, balancing landlord rights along with long-term tenant retention strategies.

  • Enforce lease terms consistently including CAM recovery, maintenance obligations, insurance compliance, and operational requirements.

  • Drives performance to meet or exceed budget NOI, with a strong focus on revenue generation and expense control.

  • Determines opportunities to improve Tenant recovery ratios.

  • Manages property’s capital to budgeted levels.

  • Oversee annual budgets and reforecast, monthly variance reporting, CAM reconciliations and capital expenditure planning.

  • Ensure timely rent collection and AR management, enforcing collection procedures as needed.

Employee Motivation and Development

  • Lead, mentor, and develop the onsite property management team, including operations, security, and administrative staff.

  • Partner with HR on performance management, staffing, and organizational development.

  • Foster a culture of ownership, urgency, and operational excellence.

  • Performs other duties as required.

What You Bring.

  • Bachelor’s Degree or related field and/or 5-10 years in retail property management.

  • Exceptional business and financial acumen, creating an environment that maximizes profitability while growing effective teams.

  • Understanding of financial aspects of property performance.

  • Excellent skills in navigating the internet, Excel, MS Word, PowerPoint.

  • Ability to easily learn and use new systems.

  • Entrepreneurial approach to understanding tenant needs and a proven problem solver.

  • Comprehensive understanding of marketing, negotiating, legal, environmental and construction as related to consummating retail commercial property.

  • Have thorough knowledge of area market including all competitive properties and area demographics.

  • Knowledge and understanding of the tenant improvement process.

  • Ability to handle multiple tasks. Coordinate, manage and communicate efficiently and effectively.

  • Effective verbal and written communication skills.

  • Strong organizational skills and ability to be flexible.

  • Self-motivated, creative and resourceful.

  • Keen eye for curb appeal, ways to enhance buildings and projects.

  • Outgoing, confident and collaborative with the ability to motivate employees, customers and outside business contacts.

  • Articulate, polished and comfortable in a fast-paced environment.

  • Negotiates deal terms and lease documents, including renewals for retail, and office properties
  • Responsible for touring office space; providing accurate rental rates and terms
