Ko tōu ake mahi - What you’ll do - Senior EA

The Senior Executive Assistant is a key connector for the Office of the Deputy Chief Executive, keeping our work flowing smoothly and helping the whole team operate at its best. You’ll provide executive support to the DCE while also being a trusted partner to the wider group, coordinating priorities, strengthening communication, and creating a collaborative environment where everyone can do their best mahi. This role is all about anticipating what’s needed, and helping the team stay focused, aligned, and moving forward.

Day to day responsibilities: Senior EA

  • Keep the Office of the Deputy Chief Executive running smoothly by managing calendars, priorities, and workflow with confidence and clarity

  • Coordinate team activities, meetings, and information flow to ensure everyone stays aligned and well‑supported

  • Prepare high‑quality documents, briefings, and communications that support the DCE and wider team’s mahi

  • Act as a key point of contact for internal and external stakeholders, helping the team build strong, positive relationships

  • Build strong relationships across the organisation to facilitate effective communication and decision‑making

Ko tōu ake mahi - What you’ll do - Coordinator

The Coordinator role provides high‑quality coordination and administrative support under the direction of the Knowledge Translation and Implementation (KTI) Manager, supporting national work programmes and operational delivery. The role ensures processes and procedures are established and maintained to a high standard and actively collaborates with internal and external stakeholders

Day to day responsibilities: Coordinator

  • Contribute to the delivery of the Agency work programme by coordinating and supporting planning, implementation, and quality processes using Agency methodologies

  • Provide proactive administrative and coordination support to the KTI Manager and team, including managing information requests, distribution and reporting

  • Organise and support stakeholder meetings, including scheduling, preparation, minute-taking, and follow-up actions

  • Assist with internal and external communications, including drafting and distributing documents and updates

  • Manage logistics for meetings and events, including venue bookings, travel arrangements, catering, and branding collateral.

  • Experience as an Executive Assistant, Senior Administrator, Senior EA and coordination role

  • Strong organisational and time‑management skills

  • Ability to anticipate needs and work autonomously

  • Confidence working with senior stakeholders and managing competing priorities
