Job description

The Accounts Payable Clerk is responsible for preparing, processing, and filing accounts payable documents to ensure accurate and timely payment to vendors. This role requires strong attention to detail, basic accounting knowledge, and the ability to manage multiple tasks in a fast‑paced office environment. The position supports internal departments and external vendors through effective communication and accurate data processing.

Essential Duties & Responsibilities

  • Prepare accounts payable vouchers, invoices, and payment documentation for computer entry and vendor payment processing.
  • Review and verify invoices, purchase orders, and supporting documentation for accuracy and completeness.
  • Perform basic data entry, calculations, and invoice matching using established AP procedures.
  • Sort, prioritize, and prepare check runs, matching checks to corresponding accounts payable documents.
  • File paid accounts payable records accurately in alphabetical order and maintain organized financial files.
  • Utilize standard office equipment including personal computer, calculator, multi‑line phone system, copier, scanner, fax machine, and adding machine.
  • Respond to internal and external inquiries related to invoice status, payments, and vendor accounts.
  • Maintain a clean, neat, and organized workstation in accordance with departmental standards.
  • Perform additional clerical and administrative duties as assigned.

Job Requirements

Performance Requirements (Knowledge, Skills & Abilities)

  • Ability to work effectively with internal staff and external vendors, demonstrating patience, professionalism, and diplomacy.
  • Strong attention to detail with the ability to analyze information independently and resolve discrepancies.
  • Ability to work efficiently in an environment with frequent interruptions, including phone calls.
  • Proficient in reading, writing, and speaking English to complete invoices, vouchers, purchase orders, and vendor communications.
  • Ability to follow written and verbal instructions and communicate clearly with employees and management at all levels.
  • Basic mathematical and accounting skills to calculate invoice totals, pricing, and purchase order discrepancies.
  • Functional computer skills, including the ability to use a moderately complex accounting or AP system.
  • Manual dexterity to operate a computer keyboard, calculator, and office equipment.
  • Ability to bend, reach, lift, and carry files or reports up to 30 lbs on an intermittent basis.
  • Ability to remain alert and productive throughout the duration of the shift.
  • Reliable attendance in accordance with company standards.
  • Maintain a neat, clean, and professional appearance.

Education & Experience

  • Education: High School Diploma or GED required.
  • Experience: Any combination of education, training, or experience that provides the required knowledge, skills, and abilities. Prior accounts payable, accounting clerk, or administrative experience preferred.
