ABOUT GLOBAL BUSINESS SOLUTIONS (GBS): A business partner & transformation engine for TMICC and aim to offer integrated of People, process, data and technology from design to deliver.

As part of this set-up, Magnum Ice Cream will establish a future-fit and innovative GBS organization, partnering with multiple business functions across a global footprint to optimize processes, unlock business savings, and operational efficiency.
The GBS organization will partner key business functions including Finance, Enterprise Solutions and Information Technology, Procurement, Supply Chain, HR, Marketing, Customer Development and Sales, and Sustainability. A significant proportion of GBS roles will be based in one of our GBS hubs, with supporting spokes to be established in the Americas and Europe.
Role Overview
We are seeking a highly skilled Microsoft 365 (M365) Specialist responsible for designing, implementing, and managing end‑to‑end solutions across the M365 platform. This role covers both solution architecture and BAU operational management for OneDrive, Teams, SharePoint, Voice, and other M365 tools.
The ideal candidate will be technically strong, capable of guiding external vendors on architecture, policies, governance, and operational processes, while also ensuring adherence to SLAs and best‑practice operational standards.
Key Responsibilities
1. M365 Solution Design & Architecture
- Design and implement scalable, secure, and compliant solutions across the M365 suite (Teams, SharePoint, OneDrive, Exchange Online, Teams Voice, etc.).
- Provide architectural guidance on tenant-level configuration, identity integration, conditional access, DLP, and data governance.
- Define the logical and physical architecture required for new capabilities and enhancements.
- Drive adoption of modern M365 capabilities such as Teams Apps, Viva Suite, CoPilot integrations, and workflow automation (Power Automate/Power Platform).
2. BAU Operations & Platform Ownership
- Own day-to-day BAU operations for all M365 workloads including:
- Teams (collaboration, meetings, channels, guest access)
- SharePoint Online (Intranet, sites, libraries, permissions)
- OneDrive for Business (sync, storage, backup, sharing policies)
- Teams Voice / Calling Plans / SBC integrations
- Exchange Online mailboxes, distribution lists, retention policies
- Device and app management in Intune (optional based on demand)
- Manage and continuously improve BAU processes: access provisioning, governance, site lifecycle, backup/restore, permissions hygiene.
- Define support workflows and ensure proper escalation and documentation.
3. Vendor Coordination & Technical Governance
- Act as the technical SME representing our organization in discussions with vendors.
- Review and validate vendor proposals, architectures, deployment plans, and risk assessments.
- Ensure vendors follow organizational architecture standards, operational guidelines, and compliance requirements.
- Evaluate vendor effort, timelines, deliverables, and SLA performance.
- Guide vendors on incident response, change management, and root‑cause analysis.
4. Security, Compliance & Governance
- Implement and maintain security policies including MFA, conditional access, secure sharing policies, and compliance frameworks.
- Ensure alignment with data retention, DLP, eDiscovery, audit logging, and legal/information governance requirements.
- Monitor risk, access anomalies, and policy violations using Microsoft Defender dashboards.
- Establish and enforce M365 governance frameworks for Teams, SharePoint, and OneDrive.
5. Monitoring, Reporting & SLA Management
- Monitor service health, adoption, and usage using M365 Admin Center, Power BI, and advanced reports.
- Ensure BAU activities meet defined SLAs, KPIs, and compliance standards.
- Prepare performance dashboards and operational insights for leadership.
- Lead periodic service reviews covering vendor performance, platform stability, and optimization opportunities.
6. User Enablement & Adoption
- Work closely with business stakeholders to understand requirements and translate them into M365 solutions.
- Develop adoption strategies, user guidelines, FAQs, and knowledge materials.
- Conduct training sessions and workshops on new features or governance policies.
- Promote best practices in collaboration, document management, meeting experiences, and secure data sharing.
Required Skills & Experience
Technical Expertise
- Strong hands-on knowledge and administration experience with:
- Microsoft Teams (including Voice, Calling Plans, Direct Routing/SBC)
- SharePoint Online (site creation, permissions, hub sites, retention)
- OneDrive for Business
- Exchange Online
- Power Platform (Power Automate, Power Apps) — good to have
- Azure AD / Entra ID (identity, roles, conditional access)
- Defender for M365 Security & Compliance
- Understanding of network concepts relevant to M365 (proxy, firewall, bandwidth, Teams QoS).
Solutioning & Architecture Skills
- Ability to design end-to-end architecture for collaboration, communication, and storage.
- Strong understanding of M365 governance frameworks.
- Experience defining policies, configuration baselines, and operational standards.
Operational & BAU Skills
- Experienced in incident, change, and problem management.
- Skilled in managing BAU playbooks, SOPs, RCA documentation, and escalation workflows.
- Experience monitoring service performance and operational metrics.
Vendor & Stakeholder Management
- Ability to guide technical vendors, challenge design decisions, and ensure delivery quality.
- Strong communication skills to collaborate with business, security, compliance, and IT leadership.
- Experience reviewing SOWs, solution documents, and SLA dashboards.
Preferred Qualifications
- Microsoft certifications (e.g., MS‑700, MS‑900, MS‑102, MS‑203, SC‑300, AZ‑104).
- Prior experience in large enterprises with complex collaboration landscapes.
- Experience in migration projects (SharePoint, Teams, file shares, legacy systems).

- Strong analytical and problem‑solving mindset.
- Ability to manage multiple activities and priorities.
- Excellent communication and documentation skills.
- Proactive, self‑driven, and able to work independently.
