This role is ideal for someone who understands that exceptional executive support and a seamless office environment go hand in hand. You will serve as a trusted partner to senior leadership while also ensuring the San Jose office operates efficiently and professionally. This is a highly visible position requiring discretion, strong judgment, and the ability to manage competing priorities with ease.

Who You Are

  • 3+ years of experience supporting executives and/or office operations in a professional services or corporate environment
  • Highly proficient in Microsoft Outlook, Word, Excel, and Teams
  • Strong calendar management, travel coordination, and expense reporting experience
  • Professional, executive-ready presence with excellent communication skills
  • Highly organized with strong attention to detail and ability to prioritize
  • Service-oriented mindset with the ability to remain calm and solutions-focused
  • Discreet and trustworthy when handling confidential information
  • Comfortable working independently in a smaller office environment

What You’ll Do

Executive Support (Primary Focus)

  • Partner directly with 3-4 Senior Managing Directors and directly support:
  • Complex calendar management and scheduling
  • Travel coordination and itinerary management
  • Expense reporting and administrative support
  • Meeting coordination, including agendas, logistics, and follow-ups
  • Provide support for executive meetings, including catering and onsite coordination
  • Anticipate executive needs and proactively solve problems before they arise

Office Management Support

  • Manage day-to-day office operations, including:
  • Ordering and maintaining kitchen and office supplies
  • Managing access badges and coordinating with building management
  • Supporting IT-related needs and coordination
  • Maintain a clean, organized, and professional office environment
  • Serve as a point of contact for employees working onsite

Meetings & Events

  • Coordinate onsite executive and client meetings end-to-end:
  • Scheduling, room setup, catering, and logistics
  • Support internal events and leadership visits

Additional Details

  • Overlap with current Executive Assistant will be provided for training and transition
  • This role requires a high level of ownership, professionalism, and adaptability
  • Ideal for someone who enjoys both executive support and office coordination responsibilities

Location: 1735 Technology Dr, San Jose, CA (near airport) – parking provided by Riveron

Schedule: Monday–Thursday: 9:00 AM – 3:00 PM - Flexibility required based on executive schedules, events, and office needs

Compensation: $49/hour

Classification: 1099 contract position
