Job Description:
The Senior Leave Administrator is responsible for day-to-day oversight and execution of employee leave programs, including but not limited to Family and Medical Leave, accommodations under ADA and Parental Leave. This role is responsible for compliance with company policies and legal requirements while providing a high level of customer service and support to employees throughout their leave process. Using a clear understanding of the business, this role partners with business leaders and Legal to evaluate options and provide recommendations to support consistent, compliant decisions. As a key contributor to the Benefits team, this role may also play a role in process optimization efforts and will be expected to ensure processes are frictionless, scalable, and efficient.
What You'll Do:
Administer leave of absence programs including FMLA, parental leave, disability leave, military leave, and personal leave in accordance with company policies and applicable regulations.
Serve as a primary point of contact for employees, managers, and HR partners regarding leave eligibility, documentation requirements, and timelines.
Coordinate with third-party leave administrators to ensure timely processing of claims and accurate case management.
Manage workplace accommodation requests under ADA, PWFA, and related regulations by conducting interactive discussions with employees and leaders and evaluating reasonable accommodation options.
Partner with business leaders, HR partners, Benefits leadership and Legal to evaluate leave and accommodation scenarios, align on risk and employee experience, and provide recommendations for consistent application of policy and applicable law.
Educate and influence leaders on leave processes, risk considerations, and best practices, helping them understand implications while consulting on outcomes.
Oversee return-to-work planning and case management, ensuring appropriate documentation is received and communicated to relevant parties.
Partner across internal teams to coordinate operational impacts of leave and ensure accurate pay and benefit administration while employees are on leave.
Maintain accurate and confidential records within HR systems and support reporting or data analysis related to leave activity.
Handle sensitive medical and personal information with discretion; maintain strict confidentiality and follow applicable privacy, recordkeeping, and data retention requirements.
Administer and coordinate state paid family and medical leave programs (as applicable), including eligibility guidance, required documentation, integration with company benefits, and coordination with third-party administrators.
Ensure compliance with federal, state, and local leave and accommodation laws and stay current on regulatory developments.
Identify opportunities to improve leave administration processes and employee communications.
Bring forth market trends and internal data to recommend enhancements to leave programs.
What We're Looking For:
Leave/accommodation certification (e.g., CEBS, SHRM-CP/SCP, CPDM) or experience administering multi-state leave programs, including state-mandated leave programs.
Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent work experience.
Minimum of 5 years of experience in HR or leave administration, with a strong understanding of leave laws and regulations.
Ability to understand conceptual matters and translate how those concepts guide or inform work.
Excellent organizational and time management skills.
Strong attention to detail and accuracy; ability to synthesize data and identify trends.
Effective communication and interpersonal skills; ability to provide strong customer service and navigate challenging or sensitive issues with tact and discretion.
Proficient in HRIS systems and Microsoft Office Suite; prior Workday experience a plus.
Strong consultative and relationship‑building skills; able to navigate sensitive situations with empathy, humility, and professionalism.
Comfort with ambiguity and situational judgment, including knowing when to escalate, when to recommend alternatives, and how to present options in a balanced way.
